SUMMARY OF THE WESTERN UNION® MONEY TRANSFERSM SERVICE TERMS AND CONDITIONS (FOR THE FULL TERMS AND CONDITIONS, PLEASE ASK ANY WESTERN UNION AGENT OR VISIT WWW.WESTERNUNION.COM.AU)

Western Union® Money TransferSM transactions can be sent and picked up at most Western Union® Agent locations worldwide. Regular money transfers are usually available within minutes for pick up by the receiver, subject to the opening hours of the receiving Western Union Agent (“Agent”) location. Exceeding amount limitations, regulatory restrictions or other restrictions in certain countries may delay the transaction. Western Union does not act as the agent or representative of any bank for any purpose and does not accept deposits on behalf of any bank.

Money transfers will normally be paid in cash, but some Agents may pay by cheque or a combination of cash and cheque or may offer or the receiver may choose other ways to receive funds and some money transfers may be paid to accounts. All cash payments are subject to availability, receivers showing documentary evidence of their identity and providing all details about the money transfer required by Western Union, including sender’s and receiver’s names, country of origin, approximate sum, money transfer control number and any other conditions or requirements applicable at the Agent location. The sender authorizes Western Union to honor the receiver’s choice of method to receive funds even if it differs from the sender’s. Cash money transfers shall be paid to the person that Agents deem entitled to receive the transaction after verification of identity often through examination of identification documents. Such payment can be made even when the form filled out by the receiver contains errors. Neither Western Union nor its Agents carry out a comparison of the “To Send Money” form against the “To Receive Money” form to verify the address given for the receiver. In some destinations the receiver may be required to provide identification, a test question answer or both to receive funds in cash. Test questions are not an additional security feature and cannot be used to time or delay the payment of a transaction and are prohibited in certain countries. Applicable law prohibits money transmitters from doing business with certain individuals and countries. Customers are sometimes required to provide additional identification or information, delaying transactions.

TRANSFER FEES: Written information explaining how Western Union charges the sender for making a money transfer will either be displayed prominently at the Agent location or shown to the sender prior to completion of the payment order. In certain cases, payment of a money transfer may be subject to local taxes and service charges. FOREIGN EXCHANGE: Money transfer payments will normally be made in the currency of the destination country. In addition to the transfer fee applicable to each transfer and if the currency which the sender presents to an Agent is not the currency to be received by the receiver, all currency is converted at Western Union’s then current rate of exchange. The currency will be converted at the time of transfer and the receiver will receive the foreign currency amount shown on the Transaction Receipt. In a few countries local regulations require the currency to be converted at the time the receiver is paid, in which case the exchange rate and any amounts shown on the Transaction Receipt may be subject to exchange rate fluctuations between the time of transfer and the time the receiver collects the funds.

SPECIAL SERVICES: Where available, Western Union offers free SMS notification to indicate that the transaction has been collected by the receiver (for the sender) or that funds are available for collection (for the receiver). Western Union will send SMS messages to a third party gateway for delivery. ACCOUNT BASED TRANSFERS: Where available, the receiver may incur additional fees for receiving the sender’s funds through a mobile telephone or to a bank or other account. Additional costs or delay may occur if transfers are not sent to a local (receiver) currency account. The receiver’s agreement with its mobile phone service, mWallet, bank or other account provider governs the account and determines their rights, liability, fees, funds availability and account limitations. In the event that the account number provided (including mobile phone numbers for mobile accounts) does not belong to the named receiver, the transfer will be credited to the account number provided by the sender. Western Union may make money from fees associated with use of an account. REFUND - Western Union will refund the principal amount of a money transfer upon the sender’s written request if payment has not made or credited. Transfer fees are not refunded if the transfer is stopped at the sender’s request.

LIABILITY: Western Union disclaims all liability in respect of the sender’s relationship with the receiver, without limitation, in respect of the delivery or suitability of any goods or services paid for by means of a Western Union money transfer. The sender’s transaction data is confidential to him and should not be shared with any other person other than his receiver. The sender is cautioned against sending money to any person he does not know. In no event shall Western Union or any of its Agents be liable if the sender communicates transactional data to any person other than his receiver. To the extent permitted by law, in no event shall Western Union or any of its Agents be liable for damages for delay, nonpayment or underpayment of this money transfer, or non-delivery of any supplemental message, whether caused by negligence on the part of their employees or agents or otherwise, beyond the sum equivalent to US$500 (in addition to refunding the principal amount of the money transfer and the transfer fee). In no event will Western Union or its Agents be liable for any indirect, special, incidental, or consequential damages. The foregoing disclaimer shall not limit Western Union’s or Agent’s liability for damages resulting from Western Union’s or Agent’s gross negligence or intentional misconduct in those jurisdictions where such a limitation of liability is void. The foregoing disclaimer shall not exclude Western Union’s nor its Agent’s liability for any condition or warranty that cannot be excluded by law including any implied warranty that it will render services with due care and skill, and Western Union’s and its Agent’s liability for breach of such condition or warranty shall be limited to the greater of the cost of providing the affected service again and the sum equivalent to US$500.

DATA PROTECTION: Your personal information is processed under applicable laws and is controlled & used by Western Union for the purposes of providing the requested services. Your information is used to provide you with the services you have asked for and may also be used in connection with other services, products, convenience and/or rewards programs, you signed up for with Western Union or its affiliates, and, subject to your choices, send you commercial communications. Providing your information and that of the receiver of our services is voluntary but necessary to execute the transaction. You consent to Western Union disclosing or transferring your information and Third Party Information to third parties to carry out transactions. Western Union may also disclose such information to third parties, where reasonably necessary, for the purposes of the prevention, detection, investigation and prosecution of crime, or when required by law, and the recipients may further disclose the information for these and other related purposes. (for money transfers from the United States, Canada, and Mexico, and for commercial services transactions) and Western Union (Ireland) Partnership (for all other transactions), through a network of authorised Agents and representatives (outside Australia).

Common mistakes

Filling out a Western Union form requires attention to detail and an understanding of the specific instructions provided. However, in the rush to send or receive money as quickly as possible, people often commit errors. Identifying and avoiding these mistakes ensures that transactions are processed smoothly and without unnecessary delays. Below are five common mistakes people make when they fill out a Western Union form.

  1. Entering Incorrect Personal Information: One of the most common mistakes is entering incorrect personal information. This includes misspelling names, using nicknames instead of legal names, or providing outdated addresses. Western Union uses this information to verify the identity of both the sender and the recipient, so accuracy is crucial.

  2. Misunderstanding the Recipient's Location: Senders sometimes mistakenly believe that money can be picked up at any Western Union location, regardless of the specified receiving location on the form. However, the form requires designation of a specific receiving location, and the recipient may only collect the money at that location or within its country, depending on the services offered by Western Union in that area.

  3. Incorrect Currency Selection: Many people fail to select the correct currency for the receiver. This can lead to confusion, delays, and potentially extra costs for currency conversion. It is important to know the currency in which the receiver will collect the money and to make the appropriate selection on the form.

  4. Failure to Sign the Form: Forgetting to sign the form can invalidate the entire transaction. A signature is a mandatory form of identification and verification. Without it, Western Union cannot process the transaction, leading to delays until the oversight is corrected.

  5. Not Providing Accurate Transaction Details for Receiving Funds: When receiving money, individuals sometimes overlook the necessity of providing accurate transaction details, including the Money Transfer Control Number (MTCN), to the agent. Without this information, the verification process is hampered, potentially preventing the funds from being released.

To ensure an error-free process, individuals should take their time when filling out the Western Union form, double-checking all entries and confirming all details before submission. This careful attention to detail can save time and avoid complications in sending or receiving funds through Western Union.

Documents used along the form

In dealing with financial transactions, especially those that involve sending or receiving funds internationally, the Western Union form is a critical document. However, it is usually not the only document necessary to ensure the legality, accuracy, and security of these transactions. Several other forms and documents often accompany it, each serving a distinct purpose in the transaction process. Understanding these documents can significantly ease the process for all parties involved.

  • Government-Issued Identification: This is required to verify the identity of the person sending or receiving funds. It could be a passport, driver's license, or any other official state or government-issued ID.
  • Receipt of Payment: A document indicating that payment was made for the service. This could be a digital or paper receipt showing the transaction amount, date, and other relevant transaction details.
  • Transaction History Form: For those who regularly send or receive money through Western Union, this form helps to keep a record of all past transactions, including amounts, dates, and recipient details.
  • Bank Statements: Sometimes necessary to verify the source of the funds being sent, especially for large transactions. This ensures compliance with anti-money laundering laws.
  • Proof of Address: This could be a utility bill, lease agreement, or any official document showing the current address of the sender. It is sometimes required for verification purposes.
  • Customs Declaration Form: For international transactions that involve the physical movement of goods along with the funds, a customs declaration form may be required to comply with export and import regulations.
  • Consent Form: If funds are being sent on behalf of someone else, a consent form may be needed to authorize the transaction. This form must be signed by the individual providing the funds.

The Western Union form, coupled with these additional documents, ensures a comprehensive approach to handling transactions. This arrangement not only safeguards against fraud and illegal activities but also provides a clear audit trail that can be essential for resolving disputes or for reference in future transactions. It's a meticulous process that underscores the importance of thoroughness in financial dealings, reflecting a balance between regulatory compliance and customer service.

Dos and Don'ts

Filling out a Western Union form requires attention to detail to ensure the transaction process is smooth and error-free. Whether sending money for personal or professional reasons, adhering to a set of do's and don'ts can significantly enhance the experience and security of the transfer. Below is a practical guide to help you navigate the completion of a Western Union form accurately.

Do:
  1. Verify the recipient's information: Double-check the recipient's name, address, and other pertinent details to ensure they match their identification documents exactly. Errors can cause delays or result in funds being sent to the wrong person.
  2. Use a pen: Fill out the form using a pen with black or blue ink to make sure the information is legible and permanent, minimizing the risk of alterations.
  3. Retain your receipt: Always keep the receipt or any confirmation number until the recipient confirms they have successfully collected the funds. This information is crucial for tracking or resolving any issues that may arise.
  4. Be precise with currency details: Clearly specify the currency you intend to send the money in, considering the exchange rates and the recipient's ability to withdraw in the desired currency.
  5. Review transaction fees: Understand the fees associated with the transaction to avoid surprises. Fees can vary based on the amount, destination, and urgency of the transfer.
  6. Comply with legal requirements: Ensure you understand and comply with any legal requirements or limits on money transfers both in the sending and receiving country.
Don't:
  1. Ignore identification requirements: Failing to provide or check identification when required can lead to transaction cancellations or legal issues.
  2. Forget to confirm the transaction type: Whether sending money for pick-up, direct to a bank account, or to a mobile wallet, make sure you confirm the transaction method correctly to avoid misunderstandings.
  3. Use pencil or erasable ink: Information filled out with materials that can be easily erased or altered raises security concerns and might invalidate the form.
  4. Disregard privacy: Do not disclose personal information or details of the money transfer to unauthorized individuals, as this can put you at risk of fraud.
  5. Misspell names or details: Even minor inaccuracies in names or details can prevent the recipient from collecting the money and lead to additional charges for corrections.
  6. Omit crucial details: Leaving out essential information, such as the recipient's location or the purpose of the transfer, if required, can delay or complicate the processing of your transaction.

Misconceptions

When it comes to sending money through Western Union, several misconceptions can lead to confusion. Below is a list of common misunderstandings about the Western Union form, clarified to help individuals navigate their transactions more efficiently.

  • Personal Information Isn't Necessary for a Receiver: Many believe that the receiver doesn't need to provide personal information to collect the funds. However, for security purposes, receivers may be required to present valid identification and, in some cases, answer a test question, depending on the destination country's regulations.

  • Money Can Be Sent to Anywhere in the World Without Restrictions: While Western Union offers extensive global coverage, there are countries and territories where their services are limited or even prohibited. It's important to verify service availability before attempting to send money.

  • Transfers Are Instantaneous in All Cases: Although many transfers through Western Union are completed within minutes, some transactions may take longer. Factors such as the chosen service, destination, and regulatory considerations can affect delivery times.

  • Exchange Rates Are the Same Across All Services: Exchange rates can vary depending on the specifics of the transaction, including how the money is sent (online, in person, or through the app) and how the receiver opts to collect the funds. It's beneficial to review the exchange rates for each option.

  • All Money Transfers Are Irreversible: It's a common misconception that once money is sent, it cannot be cancelled or refunded. In reality, as long as the receiver hasn't collected the money, the sender may cancel the transfer and potentially receive a refund, though this is subject to certain conditions and fees.

  • Western Union is Only for Money Transfers: Beyond sending money, Western Union provides other services including bill payments and prepaid cards. Their offerings are broader than many people realize, making them a versatile financial services provider.

Understanding these aspects of the Western Union form and services can enhance the experience for both senders and receivers, ensuring transactions are completed as smoothly as possible.
